Here at Function Fixers we help more and more clients hold awards dinners in some spectacular venues.  What follows are some suggestions on how to ensure your event is planned for maximum impact.

Obviously we are all constrained by finances, but ensure you have enough capacity in your budget to have all your key attendees accounted for, including award winners, presenters, team members and guests.  Number of attendees will be crucial in determining everything that follows when planning your event.

To ensure your event runs smoothly there are many small and not so small details that will need to be planned.  As it is an awards dinner the food must be a priority.  Ensure that there is a plentiful supply of food, ideally as soon as the starter is presented the awards can begin – this ensures that the awards can be presented in a timely manner. The presenting of awards should be completed after the dessert.  Canapes are also a good idea if you are holding a drinks reception prior to the main event.  You may wish to theme your menu to your company’s branding or products, especially if you have an easily identifiable link – whether geographically or thematically.

You should consider a theme for your awards dinner – this can be communicated from your initial invitation, and can encompass elements such as decoration, entertainment and music.  Your choice of venue can also influence your theme or vice versa.  Ensure that you have enough AV capacity to carry out your entertainment choices – the right music and lighting can really set the tone for your event and if you have the budget a specialised technician can make all the difference to the professionalism of your event.

Speakers – sometimes the person who wants to do the speaking and presenting may not be the best choice for your event.  If your event is a high profile event consider hiring a Master of Ceremonies to make your dinner more memorable.  If you are running an internal awards dinner ask within your company for volunteers from unexpected areas to present awards – you may discover some hidden talents within your organisation!

Awards dinners can present excellent opportunities for marketing, both internally and externally.  Make sure your marketing and PR departments are up to speed on your plans so they can exploit any goodwill.  If you are organising a charity awards dinner consider whether a raffle would be a worthwhile inclusion,  These can be valuable opportunities for fundraising amongst your most valued supporters.
