One of the questions I’m asked most often is:

“How do I know if I’m choosing the right venue?”

It’s a fair question. Whether you’re organising a conference, meeting, awards dinner, product launch or team away day, the venue is often the single most important decision you’ll make during the planning process.

A great venue can elevate an event, improve attendance, enhance engagement and make organisers look good. The wrong venue can create logistical challenges, disappoint delegates and leave guests remembering the venue for all the wrong reasons.

Having spent more than 30 years helping clients source venues across London, the UK and Europe, I’ve learned that successful venue selection isn’t about finding the most impressive venue. It’s about finding the venue that best supports your event objectives.

Here’s the approach I recommend.

Start With the Purpose of the Event

Before looking at venues, be clear about what you’re trying to achieve.

Ask yourself:

  • Is the event designed to educate?
  • Is it intended to celebrate?
  • Are you launching a product?
  • Is networking the primary objective?
  • Do you want attendees to collaborate?
  • Is the event focused on employee engagement?

The answers will influence every venue decision that follows.

For example, a training workshop requires a very different environment from an awards dinner or a client reception.

The venue should support the purpose of the event rather than simply providing a space to host it.

Understand Your Audience

The best venues are chosen with the audience in mind.

Consider:

  • Who is attending?
  • What are their expectations?
  • How far are they travelling?
  • What level of hospitality is appropriate?
  • Are there accessibility requirements?

A venue that works perfectly for a technology start-up may not be suitable for a financial services conference or a charity gala.

Understanding your audience helps ensure the venue feels relevant and appropriate.

Capacity Is More Than a Number

One of the most common mistakes I see is selecting a venue purely based on maximum capacity.

A venue may technically accommodate 300 delegates, but does it allow space for:

  • Registration
  • Networking
  • Catering
  • Exhibitions
  • Breakout sessions
  • Production equipment

Always think about how people will move through the space.

A comfortable event almost always feels more successful than one that feels overcrowded.

Location Can Influence Attendance

Venue location has a direct impact on attendance and delegate experience.

When assessing a location, consider:

  • Public transport links
  • Parking availability
  • Nearby hotels
  • Travel times
  • Accessibility

In London, venues close to major transport hubs such as Liverpool Street, King’s Cross, Paddington and Waterloo often perform particularly well.

The easier it is for people to attend, the more likely they are to do so.

Consider Delegate Experience

Modern event planning is increasingly focused on experience.

Attendees now expect more than a room and a chair.

When visiting venues, look for:

  • Natural daylight
  • Comfortable breakout areas
  • Outdoor space
  • Quality catering
  • Attractive surroundings
  • Good networking opportunities

The venue environment can significantly influence engagement, energy levels and overall satisfaction.

Don’t Ignore Technology

Technology should never be an afterthought.

Even relatively simple events often require:

  • Reliable Wi-Fi
  • Presentation screens
  • Sound systems
  • Hybrid event capabilities
  • Technical support

If technology is important to your event, involve your AV team during venue selection.

It’s far easier to identify potential issues before a contract is signed than a week before the event.

Think About Flexibility

Events rarely run exactly as planned.

Venues that offer flexibility are often the easiest to work with.

Look for venues that can accommodate:

  • Changes in delegate numbers
  • Alternative room layouts
  • Additional breakout requirements
  • Extended event timings
  • Last-minute requests

A flexible venue team can be just as valuable as the venue itself.

Sustainability Matters More Than Ever

Many organisations now have environmental and social responsibility goals that influence venue selection.

Questions worth asking include:

  • Does the venue have sustainability credentials?
  • Are local suppliers used?
  • Is waste minimised?
  • Are sustainable catering options available?
  • Is the venue accessible by public transport?

Increasingly, clients are looking for venues that align with their company values as well as their event requirements.

Always Arrange a Site Visit

Photos and floorplans only tell part of the story.

Whenever possible, visit the venue in person.

A site visit allows you to assess:

  • Room flow
  • Atmosphere
  • Accessibility
  • Delegate journey
  • Quality of facilities
  • Service standards

I’ve seen countless occasions where a venue looked perfect online but wasn’t quite right in reality.

Likewise, some venues exceed expectations once you walk through the door.

Questions I Always Ask Before Booking

Before confirming any venue, I recommend asking:

  • What exactly is included in the hire fee?
  • Are there minimum spend requirements?
  • What AV equipment is included?
  • What are the cancellation terms?
  • Are there any restrictions?
  • How flexible is the venue team?

Understanding the full picture helps avoid surprises later.

My Final Advice

The perfect venue doesn’t exist.

What exists is the right venue for your specific event.

Successful venue selection isn’t about finding the newest venue, the most expensive venue or even the most impressive venue. It’s about finding the venue that supports your objectives, works for your audience and allows your event to run smoothly.

The best events are rarely remembered because of the venue alone.

They’re remembered because the venue helped create an experience that felt effortless, engaging and memorable.

That’s always the goal.
