How to Choose a Venue for a Hybrid Event
Hybrid events have become a permanent part of the corporate events landscape. Whether you’re hosting a conference, product launch, company meeting or training session, giving delegates the option to attend in person or online allows you to reach a wider audience while offering greater flexibility.
However, not every venue is equipped to deliver a seamless hybrid experience. A venue might look impressive in person but fall short when it comes to streaming quality, connectivity or audience engagement. Choosing the right venue from the outset can make the difference between a professional event and one disrupted by technical issues.
What is a hybrid event?
A hybrid event combines a live, in-person audience with virtual attendees joining remotely. Both audiences should have a high-quality experience, with opportunities to see, hear and participate throughout the event.
Hybrid events are commonly used for:
- Conferences
- Company meetings
- Product launches
- Training sessions
- Awards ceremonies
- Panel discussions
- Shareholder meetings
Look beyond the venue itself
When planning a hybrid event, it’s easy to focus on room size, location and catering. While these remain important, the technical capabilities of the venue should carry equal weight.
Before making a decision, ask yourself:
- Will online delegates have the same experience as those attending in person?
- Can speakers present confidently to both audiences?
- Is the venue experienced in hosting hybrid events?
- Is there technical support available throughout the day?
Reliable connectivity is essential
Perhaps the most important consideration is internet connectivity.
A hybrid event relies on stable, high-speed internet capable of supporting live streaming without interruption. Ask whether the venue provides dedicated bandwidth for your event rather than shared Wi-Fi used by hotel guests or other meetings.
It’s also worth checking whether there is a backup internet connection should the primary service fail.
Consider the production facilities
Many venues now offer built-in production capabilities, while others work with trusted audiovisual partners.
Find out whether the venue can provide:
- Professional cameras
- Microphones for presenters and audience questions
- High-quality lighting
- Large presentation screens
- Streaming equipment
- Recording facilities
Using a venue with permanent hybrid infrastructure is often more cost-effective than bringing everything in externally.
Think about the room layout
Hybrid events require slightly different room layouts compared with traditional conferences.
Presenters need space to move naturally while remaining within camera view, and cameras should have clear sightlines without blocking delegates.
Ask whether the venue has previously hosted hybrid conferences and whether they can recommend layouts that work well for both audiences.
Make sure speakers feel comfortable
Presenting to both a live audience and virtual delegates can feel unfamiliar.
Choose a venue that allows speakers to:
- View remote attendees where appropriate
- See presentation notes clearly
- Use confidence monitors if required
- Test microphones and presentations before the event begins
A rehearsal can significantly improve the overall experience.
Don’t forget the virtual audience
One of the biggest mistakes in hybrid events is focusing entirely on delegates in the room.
Consider how virtual attendees will:
- Ask questions
- Participate in polls
- Network with other delegates
- Access presentations afterwards
The best hybrid venues work alongside production teams to ensure remote delegates feel included rather than simply watching a live broadcast.
Ask about technical support
Even with excellent equipment, experienced technicians are invaluable.
Find out:
- Is an AV technician included?
- Will someone monitor the live stream throughout the event?
- Is technical support available for presenters?
- What contingency plans are in place if something goes wrong?
Knowing help is immediately available provides reassurance on the day.
Location still matters
Although some delegates will attend virtually, your physical venue remains important.
Choose a location that is convenient for speakers, VIP guests and in-person attendees, with good transport links and, where appropriate, nearby accommodation.
If delegates are travelling from across the UK or overseas, accessibility becomes even more important.
Questions to ask before booking
Before confirming your venue, ask:
- Have you hosted similar hybrid events before?
- What internet speeds are available?
- Is dedicated bandwidth included?
- What AV equipment is already installed?
- Can sessions be recorded?
- Is technical support available throughout the event?
- Can we carry out a rehearsal beforehand?
- Are there any additional production costs?
Venue Finder Insight
One thing we’ve learnt is that successful hybrid events are rarely about having the most sophisticated technology – they’re about making the technology feel invisible. The best venues combine reliable infrastructure with experienced event teams who understand both the live and virtual experience. When delegates don’t notice the technology, it’s usually because everything is working exactly as it should.
