The Rise of Experience-Led Events

There was a time when choosing an event venue was largely about practicality. Did it have the right capacity? Was it close to the station? Did the meeting room have enough breakout spaces? Those questions still matter, of course, but they’re no longer the whole story.

Increasingly, we’re seeing clients ask a different question: What will our guests remember?

That’s why experience-led events are becoming one of the biggest trends in corporate event planning.

At Function Fixers, we’ve noticed a clear shift over the past few years. Organisations still need venues that are well located and professionally run, but they’re also looking for spaces that create a genuine sense of occasion. Whether it’s a conference, product launch, awards dinner or client reception, the venue is expected to contribute to the overall experience rather than simply provide a room.

Sometimes it’s the setting that makes the difference. Historic buildings, museums, rooftop venues and riverside locations all offer something beyond four walls and a projector. In other cases, it’s about what the venue enables—perhaps a behind-the-scenes tour, an interactive exhibition, outdoor networking space or an opportunity for guests to experience something they wouldn’t normally encounter.

This doesn’t mean every event has to be extravagant. In fact, many of the most successful experience-led events are built around relatively simple ideas. A conference with lunch in a beautiful courtyard can feel very different from one held in a standard hotel meeting room. A networking reception overlooking the London skyline creates a talking point before the first conversation has even begun. A private dinner in a museum or historic venue naturally gives guests something to discuss between courses.

Experience-led doesn’t necessarily mean expensive – it means memorable.

We’re also finding that organisations want their events to reflect their own culture and values. A technology company might choose a creative warehouse space or an innovation hub rather than a traditional hotel ballroom. A sustainability-focused business may actively seek venues with strong environmental credentials. Professional services firms often favour prestigious, elegant surroundings that reinforce their brand. The venue itself has become part of the message.

Another reason for this shift is that people increasingly value experiences over possessions. After years of hybrid working, many employees genuinely appreciate opportunities to come together, reconnect and share something different. Clients, partners and stakeholders are equally likely to remember how an event made them feel as they are the presentations or speeches they heard.

That’s why venue selection has become more important than ever.

When we visit venues, we’re not just looking at room capacities and catering options. We ask ourselves how guests will move through the space, where conversations are likely to happen and what people will remember when they leave. Will there be a “wow” moment on arrival? Does the venue have character? Does it create opportunities for interaction? These are the questions that increasingly influence our recommendations.

Of course, practicality still matters. Great transport links, excellent service, reliable AV and good food remain essential. The most successful experience-led events combine those fundamentals with a venue that offers personality, atmosphere and a genuine sense of place.

As venue finders, we’ve learned that the best events don’t always happen in the newest or most expensive venues. They happen in spaces that suit the audience, support the event’s objectives and leave guests with something to talk about long after they’ve gone home.

That’s why we believe experience-led events aren’t simply a passing trend. They’re becoming the new benchmark for successful corporate events – and they’re changing the way organisations choose venues for the better.
