What Type of Venue Can I Hire for a £20,000 Budget?
A £20,000 venue budget can give you plenty of options, but what you can realistically hire will depend on the type of event, number of guests, location and what the budget needs to include.
For example, a £20,000 budget for venue hire alone is very different from £20,000 for a fully catered conference or company party. Before starting a venue search, one of the first things we establish is exactly what needs to come out of the overall budget.
Conference or Company Meeting
For a conference or company meeting, £20,000 can provide a good choice of venues, particularly for a small to medium-sized event.
Rather than looking only at room hire, it is worth comparing day delegate rates. These will often include the main meeting room, refreshments, lunch and basic AV, although exactly what is included varies considerably between venues.
For a larger conference, breakout rooms, enhanced AV, staging and production may all need to come out of the same budget.
A venue with a slightly higher day delegate rate can sometimes represent better value if more is included. The total cost is much more important than the headline room hire.
Training Day
£20,000 is a healthy budget for many training events and could accommodate a substantial number of delegates, depending on the location and catering requirements.
Dedicated training centres, academic venues, conference centres and hotels are all worth considering. For training, we would look for comfortable rooms, natural daylight where possible, reliable technology, good transport links and enough breakout space for smaller group sessions.
It is also worth looking beyond hotels. Purpose-built meeting and training venues can provide excellent facilities and may include much of the equipment you need within the package.
Awards Dinner or Gala
For an awards dinner, the important question is how much of the £20,000 needs to cover catering, drinks, production and entertainment as well as the venue.
A beautiful space with a relatively low hire fee may initially look like good value, but costs can rise quickly once catering, furniture, AV, staffing and production are added.
Hotels and venues offering inclusive packages can make budgeting easier. Dry hire venues provide greater creative freedom but require more careful cost planning.
For awards events in particular, we always recommend looking beyond the venue hire fee. Staging, sound, lighting and production can take a significant share of the overall budget.
Company Party
A £20,000 budget can open up a wide range of options for a company celebration, particularly if you have some flexibility over the date and location.
Depending on the number of guests, we might consider private bars, restaurants, hotels, unusual event spaces, rooftops or dedicated party venues.
Venues operating on a minimum spend can also represent good value. Instead of paying a separate room hire charge, some or all of your agreed spend goes towards food and drink.
Date flexibility can make a considerable difference too. Peak Christmas dates and popular Thursday evenings, for example, will usually be more expensive than less sought-after dates.
Product Launch
For a product launch, £20,000 could secure anything from a contemporary presentation space to a gallery, studio or blank canvas venue.
The important consideration here is production. If lighting, staging, branding, screens, sound or installations are central to the event, it may make sense to spend less on the venue and reserve more of the budget for creating the launch itself.
The most expensive venue is not necessarily the best choice. A simpler space with the right location, access and production flexibility can often work much better.
Does Location Affect What £20,000 Can Buy?
Yes, considerably.
A £20,000 budget will generally stretch further outside Central London, and there can also be significant differences between UK cities.
That does not necessarily mean moving an event a long way from your preferred location. Sometimes widening the search by just a few Underground or train stops can reveal better-value venues while keeping the event easily accessible.
The important thing is to balance cost with transport, convenience and the experience of the people attending.

Before comparing venues, establish whether the budget needs to cover venue hire, catering, drinks, AV and production, furniture, equipment, staffing, security, entertainment, branding, accommodation and VAT.

For a conference, an inclusive delegate package might provide the best value. For another event, a hotel could make more financial sense. For a product launch or party, we might recommend spending considerably less on the venue itself and keeping more of the budget for catering, production or entertainment.
