We assess against the factors that decide whether the day runs smoothly: ceiling height and natural light for full-day sessions, genuine breakout rooms (not partitioned corners of the main space), AV capability and rigging points for production-heavy events, layout flexibility for room turnarounds, catering quality and service style, accessibility and step-free routes, transport links for delegate arrival, and the operational experience of the in-house events team.

We also consider the less measurable things: whether the venue’s character actually fits the event’s purpose, and whether delegates will arrive feeling the day is taken seriously.

Yes. Every shortlist arrives with our reasoning for each option, so you can see why a venue made the list and what trade-offs sit behind it. For larger or more complex events, we can put together a side-by-side comparison covering capacity, layout, catering, AV, and pricing, alongside notes on the operational fit. If you’re presenting venue options to a wider stakeholder group (a board, a client, an internal events committee), we can format the comparison so it’s ready to share without further work on your side.

Yes. Tight lead times are common in corporate events, and we’re set up to handle them. Most shortlists are with you within 24 hours of receiving a brief, and we can turn around urgent enquiries faster when the situation calls for it.

For very last-minute requirements (a venue falling through, a sudden change of plans, a board meeting that needs to land somewhere by next week), we’ll prioritise venues with confirmed availability and a track record of accommodating short notice. That means hours of phone calls, site visit requests, capacity confirmations, and back-and-forth on availability before you can even start comparing. We do that work first. By the time you see a shortlist, every venue on it has been assessed against your full brief, checked for availability, and pre-qualified for the practical details that decide whether the event actually works. The difference is where the time gets spent: on filtering, or on deciding.

No. Our service is free to event organisers. We’re paid a commission by the venue when a booking is confirmed, which is a standard model in venue finding and doesn’t add to your costs (venues quote the same rates whether you book through us or directly). It also means we’re only paid when we find you somewhere that works, so we have no incentive to push a venue that doesn’t fit. If a shortlist isn’t right, we’d rather rework it than place a booking that won’t deliver.

The most useful briefs cover: event date or date range, delegate numbers (and whether that figure is firm or estimated), location preferences or constraints, format and flow of the day, AV and layout requirements, catering preferences, any accessibility considerations, and budget guidance (a range is fine if a fixed figure isn’t set). If branding, sustainability credentials, or specific facilities (parking, accommodation on site, outdoor space) matter for this event, include those too.
